At Joiin, we are committed to using artificial intelligence (AI) responsibly, securely, and transparently. This AI Policy explains how AI is used within the Joiin platform, how customer data is protected, and the principles we follow to ensure trust, compliance, and professional oversight.
This AI Policy should be read alongside our Terms of Use and Data Processing Addendum.
1. Introduction
Joiin Intelligence is our next-generation AI layer, powering insights, automation, and smarter reporting across financial and operational data in the Joiin platform.
You can interact with Joiin Intelligence in two ways:
- Joiin AI – a chat interface that enables teams to explore data, understand reports, identify anomalies, and uncover insights.
- AI Agents – work in the background to automate reporting, monitor performance, surface insights over time and carry out tasks and actions.
Joiin Intelligence (Joiin A and AI Agents) are optional and are only activated when users choose to use AI-assisted functionality within the platform.
By using Joiin Intelligence, you acknowledge and agree to the processing of data in accordance with this AI Policy, our Terms of Use, and our Data Processing Addendum.
2. What Is Joiin Intelligence?
With Joiin Intelligence, AI is embedded directly into the reporting workflow to surface deeper insights, accelerate reporting, and automate tasks across both financial and non-financial data. Enterprise-grade security, data protection, and regulatory compliance are applied as standard.
Joiin Intelligence helps finance teams by:
- Generating insights from financial and non-financial data
- Accelerating data processing and close
- Enabling real-time reporting and narrative commentary
- Delivering multi-entity consolidation on demand
- Providing AI agents, AI-assisted workflows, and automation to support finance processes
Joiin Intelligence is designed to support, not replace, the expertise and judgement of finance professionals.
3. How We Use AI
AI is built into Joiin to enhance the reporting and analysis experience by:
- Providing predictive insights and recommendations
- Offering contextual commentary and explanations
- Highlighting anomalies, risks, and opportunities in data
- Assisting with user-authorised tasks and actions
AI outputs are designed to be explainable, reviewable, and linked back to the underlying data wherever possible.
Joiin Intelligence may process structured financial data, operational metrics, and user-generated inputs made available within the platform for the purpose of generating insights, commentary, or automation. AI features only access data that the user is authorised to view.
Joiin Intelligence respects existing user roles, permissions, and access controls. AI-generated insights and actions are limited to the data and functions each user is authorised to access within the Joiin platform.
4. Where You’ll See AI in Joiin
Joiin Intelligence powers different AI experiences across the platform, from chat and automation to reporting outputs using Joiin AI and AI Agents.
You can
- Ask questions about performance, variances, trends, or KPIs
- Generate narrative commentary
- Highlight key movements, risks, and insights
- Draw on Joiin support content
- Automate reporting, tasks and actions
5. Data Protection & Security
We apply strict safeguards to protect customer data:
- Compliance: GDPR, CCPA, and other applicable data protection laws
- Infrastructure: Enterprise-grade cloud infrastructure using Amazon Web Services (AWS) Bedrock
- No External Training: Customer data is never used to train third-party AI models
When Joiin Intelligence invokes third-party AI services, customer data is transmitted only as part of a secure, on-demand request for the purpose of generating insights within the Joiin platform.
Customer data is:
- Not retained by third-party AI providers
- Not reused or shared beyond what is necessary to fulfil the request
- Not used to train external AI models
Joiin remains the system of record for all customer data.
AI processing may involve the transfer of data across regions, where required, in compliance with applicable data protection laws and Joiin’s Data Processing Addendum. For more, see our Data Processing Addendum and Terms of Use.
6. Responsible AI Principles
Joiin follows four guiding principles when designing and deploying AI:
- Transparent: Clear about where and how AI is applied
- Secure: Built on enterprise-grade compliant infrastructure
- Compliant: Always aligned with applicable laws and regulations
- Supportive: AI assists finance teams while leaving final decisions with people
Joiin monitors AI usage to detect misuse, abuse, or unintended behaviour and may restrict access to AI features where necessary to protect customers and the platform.
7. Limitations of AI
AI is a powerful tool, but it is not flawless. Joiin Intelligence is provided “as is” and may occasionally generate incomplete, inaccurate, or less relevant outputs.
AI-generated outputs are provided for informational purposes only and should not be relied upon as professional financial, tax, legal, or accounting advice.
Users remain responsible for reviewing, validating, and applying AI-assisted outputs in line with their professional judgement and organisational controls.
